Where we get personal information from

How long we keep information
We keep personal information only for as long as necessary to fulfil the purposes for which it was collected, including legal, accounting and insurance requirements.
Workshop bookings and payment records are kept for 6 years to comply with HMRC and financial reporting obligations.
Membership information is kept for the duration of membership and for one year afterwards.
Mailing list information is kept until an individual unsubscribes.
Email correspondence and general enquiries are kept for one year, unless they relate to an ongoing issue.
Personal data stored in our third‑party systems (including Stripe and Squarespace) is retained in line with these time periods and deleted or anonymised when no longer required.
Safeguarding Retention Policy (Under‑18s)
Dorset Printmakers occasionally provides workshops or activities that may be attended by individuals under the age of 18. In these cases, we collect limited personal information necessary for safeguarding, communication, and emergency contact purposes.
We retain personal data relating to under‑18 participants for the longer of:
3 years, or
until the individual turns 21
Accident or incident reports involving a minor are also retained until the individual reaches 21 years of age.
After the retention period expires, all personal data relating to under‑18s is securely deleted or anonymised.
Who we share information with
Stripe
This data processor does the following activities for us: Stripe processes payment information on our behalf when customers book workshops, purchase products, or pay for membership. Stripe securely handles card details, processes transactions, and provides us with payment confirmations. Stripe also performs fraud prevention and regulatory compliance checks as an independent controller.
Squarespace
This data processor does the following activities for us: Squarespace hosts our website and manages online forms, workshop bookings, and mailing list sign-ups. They process customer information on our behalf to allow us to take bookings, manage enquiries, and operate our website. Squarespace also collects limited analytics data as an independent controller.
We remain the data controller
We remain the data controller for all personal information processed through our website and payment systems, even when this information is stored or processed by our third‑party providers (such as Stripe and Squarespace).
Sharing information outside the UK
Where necessary, our data processors may share personal information outside of the UK. When doing so, they comply with the UK GDPR, making sure appropriate safeguards are in place.
